As a Marketing person, what impact does GDPR have on my day to day work?
GDPR has impacts for you when it comes to having a contact's data and using his/her data for marketing purposes.
1. Marketing emailing to Customers
You can have his/her data and send marketing communication about the products/services the client has, for the duration of the product / service. Former clients need to give their consent to you to keep his data and continue to send marketing communication to.
Under GDPR it is also allowed to send him/her marketing communication about closely related products or services.
If a customer unsubscribes, you need to respect that and no longer send any marketing emails to.
Note that GDPR still allows you to send transactional emails to your clients even to those that have unsubscribed, e.g. when a major release is happening which has an impact on the version the client is using.
2. Marketing emailing to New (since May 25 2018) Prospects and others
- gained through the website: ensure all forms have a box similar to "Yes, I would like to opt-in to receive occasional emails from Televic about Televic products and services. I hereby also accept the Televic Privacy & Cookie Policy"
- gained through other channels: ensure the Sales or other contacts have guided the contacts to the BU subscription center (to be set up by the BU), or to the Televic General Subscription center.
If a new contact does not opt-in, then you cannot send him/her any marketing emails.
3. Marketing emailing to Existing prospects and others:
You can keep sending marketing emails to these due to reasons of 'legitimate interest'. For that reason we are not sending a repermission email campaign.
However, if the contact unsubscribes, follow the "Removal" procedure and ensure you keep him/her out of your marketing communications. You can find the procedure here
4. Website
- The Privacy and Cookie Policy will be updated. It is currently under review with Agoria, and is expected back end of May. GDPR requests that you inform your contacts of the revised Privacy Policy. This means that early June you can send an email to your contacts informing about these updates. A general draft will be shared by Group Marketing
- Web forms: make sure all your web forms contain the box similar to this: "Yes, I would like to opt-in to receive occasional emails from Televic about Televic products and services. I hereby also accept the Televic Privacy & Cookie Policy"
5. I am using marketing tools such as MailChimp, Active Campaign, ...
Download the processor agreements of the tools you are using and send them to GDPR@televic.com. They will be added to the data register of your BU in case we would need to dig this up for an audit.
6. How can contacts unsubscribe from my marketing emails?
(a) If the contact sends you directly an email request to be unsubscribed, please forward the request for removal to gdpr@televic.com. This request should at least contain the first or last name of the contact, company name, job title, email address and the applicable BU.
From there on, the CTO office and GDPR responsible of your BU will take over, i.e. they will manage the verification of the requester and will ensure the lists incl. the CRM tool (if present) are updated accordingly.
(b) Ensure that the marketing email you create in your emailing platform has the link "unsubscribe" (typically standard in any marketing automation tool). Then follow the "Removal" procedure for these contacts. You can find the procedure here.
7. Which impact has GDPR on Sales?

8. Further concrete consequences of GDPR to your daily work are described in a new policy on the acceptable use of information and information security - see attachment. Please read this policy carefully. Section 6 explains the concrete attention points with regard to GDPR.
